E-mail archiveren
Vandaag zijn e-mails in de meeste organisaties een essentieel onderdeel van de zakelijke communicatie. In veel landen heersen er wetten en regels die vereisen dat dergelijke communicatie wordt gearchiveerd voor gebruik in eventuele toekomstige rechtszaken of in het kader van goede boekhoudkundige praktijken.
E-mailverkeer verloopt meestal via e-mailservers met een beperkte opslagcapaciteit. Er is dus geen garantie dat een e-mail die je vandaag ontvangt, tien jaar later nog op de server zal staan. Wanneer je de e-mail downloadt van je server, wordt deze mogelijk geconverteerd naar het eigen formaat van je e-mailtoepassing. Ook hier geldt dat er geen garantie is dat je in de toekomst nog toegang zal hebben tot die toepassing. Daar komt nog bij dat de bijlagen in de mails uiteenlopende bestandsformaten hebben die een geschikte viewer vereisen om ze te kunnen weergeven. Gelukkig stelt callas pdfaPilot je in staat om je e-mails en alle bijlagen te bewaren in een PDF/A-formaat dat vele jaren later nog steeds toegankelijk en leesbaar zal zijn.
